Generalized Communication Jobs

 

These jobs are designed to allow OEM gatekeepers to generate a variety of labels and merge files without requiring technical assistance. They will be submitted from the Banner GJAPCTL form, which will accept and validate parameters.  They are expected to be used for ad hoc communications or reports which usually happen at a single point-in-time, as opposed to the ongoing communications provided by the comm. plan.

PROCOMM selects prospective students who may have applied.  STUCOMM selects students who are enrolled or eligible to enroll.  DEGCOMM select students who have received or are seeking degrees (filed a degree check).   A data file will be sent as an email attachment that is suitable for merging with a Word document or loading into Excel or Access.  One-up address labels may also be sent to the printer in the computer center if desired.  A log of the parameters entered and the time of submission will be kept.

 

The data file will include the following fields (P/S/D if only for PROCOMM, STUCOMM, or DEGCOMM).  Further descriptions of some of these fields can be found in the data dictionary:

ID, full name (last, first), term code, term name, level (UG, GR), student level code (FT, TR, etc.), student level description, degree (S,D), primary major description, specific major code, major code 2 (S,D), minor (S,D), minor2 (S,D), department, college code, application status (P), enrolled status (P), class level (S),  rate code (S), student status active/leave/withdrawn (S), degree status (D), address type (S,D), current mailing city, state, zip, nation.

 

If a letter code is provided, current contact information will be included:

first, firstmlast, street, street2, phone, email, zipsort, webverifier

The records will be sorted in the order desired by the campus Mail Room: on-campus addresses first, other 955 zip codes second, and non-local last.

 

If requested, demographic information will be included:

Sex, ethnicity, ethnic code, tribe, citizenship code, ethnic-citizenship combined, birth date, origin, residency (CA/Non/For), permanent residency,  zip code of origin, market, region, recruiter, dependent/independent..

 

If requested, academic information will be included:

S,D: original division (FT/LD/UD/Grad), matric term, HSU/transfer/overall GPA and earned units, activities, groups

S: advisor, current units, census units, academic standing, sport

P: activities, groups, HS GPA, SAT verbal, SAT math, ACT combined, application fee status, admission basis, exception, link to web application status.

 

 

Parameters common to all three jobs

 

Description            30 characters of information to help identify this particular instance of the job.  You may want to include the requestor’s name and office.  Please do not use special characters such as ^&*(){}[] |<> in your description, since these can cause problems as the job gets passed through the job queue.

 

Email                     Address where output will be sent.  If left blank, the data will be sent to the email address stored in Banner of the Oracle user that submitted the job.  You don’t need to include @humboldt.edu.

 

Term                      PROCOMM: Set this parameter to pick prospects for a particular term.  Leave blank for all prospects (set active=N to get historical terms).

STUCOMM: enter the term for which students have enrolled or eligible to register.  Leave blank for the current term students enrolled in units.  If any term code is entered into STUCOMM after that term’s census, students with units in ERSS will be returned.

DEGCOMM:  enter a term for degrees granted or sought since this term.  Leave blank to return all students that will appear in this year’s commencement booklet (last summer through next fall).

 

The user functions termmax() and termin() may be used for further selection.

 

Active only?          PROCOMM: enter Y to select prospects/applicants that are still active (not denied or withdrawn).  Enter N to include applicants who have withdrawn, were denied, or told us they weren’t coming.  (This value is ignored for terms that have already started.) 

STUCOMM: enter a Y with a past or current term code to get census data (ERSS) about students.  Y with a blank or future term code will return all with a student status of AS.  (New students who do not enroll may still have an AS until census.)  Enter an N to include students who were on leave or withdrawn.

DEGCOMM: enter Y for degrees that are awarded or sought or N to include denied degrees.

 

Letter                    Enter a letter code to be inserted in the mail table. Leave blank to receive a report without contact information. The following codes are generic and may be inserted multiple times in SUAMAIL.  All letter codes must be exist in GTVLETR.  Be sure to uncheck the Dupl checkbox for letters that should only be inserted once per term for each person.

UCOMM – letter, phone call, or email

ALAB –       alpha-sorted labels will be printed in addition to file

ZLAB –       zip-sorted labels will be printed in addition to file

NOLET –     will return contact information without inserting a SUAMAIL record

                              If a letter code contains the letters ALAB or ZLAB, labels will be printed.  If someone changes their mind after inserting letter codes, the U_NOCOMM job may be run to remove them from SUAMAIL.

 

Demographic?       Enter Y to include demographic data in the file

 

Academic?            Enter Y to include academic data in the file.

 

User 1-3                Select from available user-defined restrictions that should be true.  New function can be added when necessary.

 

Param 1-3              Optional parameters for User functions.  Enter an N to reverse the normal effect of the function.

 

 

PROCOMM parameters

 

Applied?               N will get prospects who have not applied, Y will pick applicants.  Blank will get both.

 

Admitted?             Y will select only admitted students.  N will pick those who are denied or without a decision.  Blank doesn’t care.

 

 

STUCOMM and DEGCOMM parameters

Address                 Enter C, S, D, or P for current, summer, diploma, or parent’s addresses.  (Labels to parent’s addresses will automatically say “To the parents of:”)

 

Privacy?                The default is Y, which will exclude students who have requested their data remain private.  Enter N to include all students.

 

 

User functions


Over 150 user functions exist that enable the user to select a particular group of students or prospects with the subsets identified by the parameters above.  Most of these are legacy functions; a much smaller list of functions have been identified for use by a particular comm. job.  Up to three user functions can be entered on each job request in one of the User function fields. 

 

Many of these functions accept parameters that can be entered in Parameter fields that follow each of the three User function fields. It is also possible to use a parameter value of NOT with any function, or to precede a parameter or parameter list with the word “not”, to invert the sense.  Passing “not OCN” to “stumajor” will return true if the student is not an oceanography student.  Passing the parameter of NOT to the “local” function will return prospects who are not local.  Some functions will accept multiple values in the parameter field, separated by commas.  Example: adding the parameter “OCN, FISH” to the “stumajor” function will select students who are either oceanography or fisheries majors.

 

The description of these functions will contain PARAM(S) in the STVHUD1 table in Banner.  An appropriate list of functions and a short description of each appears if you press F9 while the cursor is positioned in one of the function fields.
